Create log entries from an email
March 21st, 2012By sending an email to a special, unique JibberJobber email address you can create log entries and action items without even logging into JibberJobber. This is a premium feature.
This is NOT an email address to send and receive and check email – it is used exclusively to create log entries and records in your JibberJobber account.
To use this tool follow the next steps:
1. SETUP YOUR EMAIL ADDRESS
To set up and activate your unique JibberJobber email address simply go to My Account and click on the E-mail Address tab. At the bottom of that page is a section titled Log E-mail Address.
The first textbox: Keyword is to create a keyword (between 3 and 10 characters), which will be a part of the unique email address. This is a security measure. As you create your keyword you’ll see the entire email address that is assigned to your account. Do not share this email address with others.
The second textbox: From Emails allows you to designate which email addresses can create a log entry, by sending to your unique address. For example, if you send an email to your friend and include your unique email address, and they “reply to all,” we don’t want them to be able to create a log entry on your behalf. This is another security measure. Both security measures are helpful, but they are not foolproof. Please watch the log entries created and change your keyword as appropriate.
2. CREATING LOG ENTRIES
After you have activated the email you will see a new message indicating your email address is set up and activated (it will be in bold green).
You can test it by sending an email to that address. Typically, when sending an email to a real person, you would put your unique JibberJobber email address in the BCC field.
We check the incoming emails every five minutes so it might not show up immediately.
To associate the Log Entry to a record you can simply put the contact’s email in the TO: in your email. For example, if the TO: is John@doe.com, and I have a contact record with John@doe.com in their email, the Log Entry will be immediately associated with their record. This works for any email addresses that we can match to your contacts.
It’s as simple as that.
You can do more with this feature, however. If you put any of the following lines in the BODY of your email we’ll do as indicated below: contacts: emails address separated values – this creates log entries for each record we can match the email address to. companies: company name separated values – this creates log entries for each record we can match the company name to. jobs: job separated values – this creates log entries for each record we can match the posting to (Job Title). startdate: action item start date (when the Action Item is due) enddate: action item end date (if you want to book out a block of time, include this. This is optional.) reminderdate: action item reminder date IF different than what the default is (when you want to get an email reminder (also a Premium feature))
On the startdate, enddate and reminderdate you can use different date formats, including:
10 September 2000 +1 day +1 week +1 week 2 days 4 hours 2 seconds next Thursday last Monday
Here’s an example of an email to create a Log Entry and Action Item:
To: john@doe.com BCC: log+username.keyword@jibberjobber.com Subject: (whatever you want - this becomes the title of the Log Entry) Body:
Hi John, great having lunch with you today. Thanks for your insight into the stuff we talked about. I'll send you an updated resume next week.
(in this example I would not put the other information - but if you want you can put in the following:)
contacts: jim@doe.com, hr@doe.com companies: Doe Inc. jobs: Director of Sales startdate: +1 week
This will create a Log Entry and Action Item associated with John, Jim and whoever has the email address of HR, as well as for the Doe company and the Sales Director job posting. The Action Item will be due in one week from today. The title of the Log Entry is the Subject of the email, and the body of the Log Entry is the body of the email.
